Structured Process Analysis:
A structured business process is a set of organized, routine activities that are consistently followed to complete a specific task or goal within an organization. These processes are often documented, repeatable, and carried out in the same way each time, making them predictable and efficient. Structured processes are essential for maintaining consistency, quality, and compliance in business operations. For this example, I will focus on the sales process.
The sales process begins when a potential customer shows interest in a product or service and ends when the transaction is complete and the customer has received their purchase. It typically includes the following steps:
Lead generation: Identifying and attracting potential customers.
Lead qualification: Determining which leads are most likely to result in a sale.
Sales presentation: Explaining the product or service and its benefits.
Handling objections, addressing customer questions or concerns.
Closing the sale, finalizing the agreement, and securing payment.
Follow up: Ensuring customer satisfaction and encouraging repeat business.
The scope of this process includes all activities from initial contact through post-sale support, with the goal of converting prospects into loyal customers while building long-term relationships. (Bella)
Lead Generation
–Identify potential customers through advertising, referrals, social media, events, or other marketing efforts.
Lead Qualification
–Evaluate leads to determine if they meet the criteria for a potential sale (budget, need, authority, and timeline).
Initial Contact
–Reach out to qualified leads through phone calls, emails, or in person meetings.
Needs Assessment
–Ask questions to understand the customer's needs, challenges, and goals.
Sales Presentation/Demonstration
–Present the product or service, highlighting features, benefits, and how it meets the customer’s needs.
Handling Objections
–Address any concerns or questions the customer may have about the product, pricing, or terms.
Proposal/Quote
–Provide a detailed proposal or price quote based on the customer's needs and preferences.
Closing the Sale
–Finalize the transaction by securing the customer’s commitment and confirming payment.
Order Processing
–Submit the order details for fulfillment, shipping, or delivery.
Follow-up and Relationship Management
–Check in with the customer post sale to ensure satisfaction, answer any questions, and encourage future business. (Bella)
The Sales business process is an integral part of Hackensack Meridian Health’s business strategy. With the competitive environment it is situated in alongside private hospitals and other corporations such as RWJ Barnabas Health, having a streamlined and professional environment for customers to engage with is a beneficial and necessary aspect required to stay at the top of their game. For the IS used by Hackensack Meridian Health, Epic is the application used at all 18 hospitals under their name. Information systems have five separate components, their hardware, software, data, people, and processes.
Hardware – The Epic system is both an app and an information system that is accessible across a multitude of hardware platforms, examples of which are computer desktops on site, portable tablet stands, and even cell phones.
Software - Epic is primarily a software-based platform, usable on computers, phones, etc.
Data – This is likely the most important and useful aspect of Epic. It has the capability of tracking employee work time, hospital floor management, patient record keeping, room assignment, discharge information, note-keeping, among other things.
People – From nurses, to transport, to EVS, hospital doctors, hospital managers, bed board, there are a multitude of different users and jobs associated with the program.
Process – The people who utilize the Epic system are able to complete tasks such as assigning patients to beds, putting in transport requests for their movement, labeling their condition based on a physician’s input, and can one can even view a patients current BP and vitals from the track board view. At Hackensack Meridian Health, information silos used to be a big issue. Different departments and locations were using separate systems which made it hard to share patient info quickly and clearly. Now with the Epic system in place, things are a lot smoother. Everyone from doctors to nurses to front desk staff can access the same up-to-date patient records no matter where they are in the network. It has made communication and care much better overall. That said, the system is not perfect. There are still occasional glitches or times when people cannot access what they need. But it is a big step in the right direction and with regular updates and staff training it keeps getting better. Over time, the goal is to keep improving integration across all departments and relieve any remaining gaps so that all patients get the most efficient and coordinated care as possible. (Tommy)
CRM stands for customer relationship management, ERP stands for enterprise resource planning, and EAI means enterprise application integration. CRM is used to help manage communication and relationships with patients, while ERP helps with things like billing, scheduling, and human resources. EAI connects all the different systems so they can work together smoothly. Some of the biggest ERP vendors are SAP, Oracle, and Microsoft. At Hackensack Meridian Health, they use Epic, which handles many of these functions in one system. It keeps everything organized and helps different departments stay connected, especially since the network is so large. An inter-enterprise system is something that allows multiple locations or organizations to share information easily. For a big healthcare network like Hackensack, having a system like Epic is really important. It makes sure patient records are accurate no matter where someone goes for care, and it helps avoid confusion or delays. Without a system like this, things would get messy very quickly. So having an inter enterprise system is something they truly rely on and benefit from every day. (Tommy)
